Rolebase

Terms of Service

Effective date: October 31, 2026

Last updated: October 31, 2026

Important: these terms include a binding arbitration clause and a class-action waiver that affect how disputes between you and us are resolved (see Dispute resolution). You can opt out within 30 days of creating your account by emailing us.

The agreement

These terms are between you and Rolebase Inc., a Delaware corporation based in New York, operating Rolebase. By creating an account or using the service, you agree to them. The service is offered for use in the United States only and is not intended for use elsewhere.

The service

Rolebase helps you organize career information, research jobs, practice interviews, and prepare application materials. Features may change or be unavailable at times. Feedback is voluntary and does not entitle either of us to compensation.

Your account

  • You must be at least 18 years old and located in the United States to use the service.
  • Provide accurate information and keep your password secure.
  • You are responsible for activity that happens on your account.
  • One account per person; accounts are not transferable.

Your content stays yours

You retain your rights to resumes, career history, notes, and other content you submit (your inputs). You must have the rights and permissions to submit it, including any information about others. You grant us a limited license to host, process, and share your inputs with service providers as needed to deliver the features you request, maintain the service, and protect it, as described in our Privacy Policy.

As between you and us, you may use the drafts and other results generated for you (outputs), subject to applicable law and the rights of others. AI outputs may not be unique, and we cannot promise that any output is free of third-party rights. We retain ownership of our software, branding, design, and other service materials; these terms do not transfer those rights to you.

Keep your own copies of resumes and other documents you upload. The service is not designed to be your only archive, and we cannot promise to restore lost or deleted content.

Your license to use the service

We grant you a limited, personal, non-exclusive, non-transferable, revocable permission to use the service for your own job search and career development, subject to these terms. Everything else about the service — software, design, prompts, branding and other service materials — remains ours, and no other rights are granted, by implication or otherwise. We may end this permission if you break these terms.

Assisted drafts need your review

The product’s analysis and drafting features are powered by artificial intelligence. They produce drafts and assessments that can be incomplete or wrong. You are responsible for reviewing facts, permissions, and suitability before using or sending anything to an employer. AI output is not legal, financial, medical, or professional career advice. Do not rely on it as a substitute for qualified advice or your own judgment.

Interview practice

Text practice messages are processed to provide interview preparation assistance and saved with your practice conversation. Private briefing notes are not included in interview practice context.

Review and monitoring

We may review content and usage records to operate the service, respond to reports, investigate suspected abuse or security issues, enforce these terms and meet legal obligations, as described in our Privacy Policy. Interview practice is text-based: we do not record or store microphone audio or video, and we do not use your content to train models of our own.

Acceptable use

  • No unlawful use, no use that violates these terms, and no misrepresenting who you are.
  • Do not submit content that is unlawful, defamatory, harassing or malicious (including malware), another person’s confidential or personal information without permission, or anything that infringes others’ intellectual property or other rights.
  • No scraping, crawling, bots or other automated access; no automated extraction or reselling of service data; no bypassing usage limits or access controls. This does not prevent exporting your own data through features we provide.
  • Do not copy, mirror, frame or reproduce the service’s design, screens, features, prompts or other service materials, and do not use the service — including its outputs — to build, train or improve a product that imitates or competes with it.
  • Do not share, sell or transfer your account or sign-in credentials, or let others use the service through your account.
  • No probing, disrupting, overloading, reverse engineering or attempting to breach the security of the service or the networks and providers connected to it, except where the law permits.
  • No using the service to send bulk, unreviewed applications — it is designed for deliberate, individually reviewed submissions.

Pricing and usage allowances

Foundation is free. Rolebase Pro is available weekly, monthly or quarterly. Prices below are in USD; applicable taxes and the total payable are shown at checkout. Foundation allowances reset each UTC calendar month. Pro allowances apply to the selected billing period. All quarterly allowances are available upfront for the quarter, not renewed monthly. Unused included allowances expire without rollover.

What each allowance covers

  • AI credits: tailoring a resume or creating a cover letter costs 1 credit. On Pro, importing a resume costs 1 credit; a learning plan or an interview briefing for one round costs 3 credits. Foundation credits cover tailoring and cover letters only. Its 3 separate monthly resume imports include onboarding.
  • AI assists are smaller writing and analysis actions: improving a bullet or summary, applying an AI resume-review fix, re-extracting keywords, career guidance or skill suggestions costs 1 assist. A fresh Fit Analysis costs 3 assists. Standalone capstone regeneration costs 3 assists and requires Pro.
  • Chat replies are shared across learning and interview tutors, text interview practice and agent chat. Each generated reply uses 1 reply. These features require Pro.
  • AI job imports extract a posting from a URL or pasted text. Each extraction uses 1 import. Entering job details manually does not use this allowance.
  • Fresh job searches find new jobs. Foundation includes 3 searches per UTC calendar month, shared by optional onboarding and manual searches: one used during onboarding leaves 2; skipping onboarding search leaves all 3. Automatic searches are not included on Foundation. On Pro, onboarding, manual and automatic searches share the included allowance. Browsing company listings, filtering saved results and reopening recent reusable search results do not use a fresh search.

Optional credits and extra usage

Active Pro members can buy 30 credits for $12 as often as needed. Purchased credits never expire, but require active Pro to spend. Included credits are used first. Foundation cannot buy credit packs or exchange credits for extra usage.

  • After included usage is insufficient, you can explicitly exchange 1 credit for 5 assists, 10 chat replies, 5 AI job imports or 1 fresh search. No purchases or exchanges happen automatically.
  • Extras funded by included credits expire at the end of their original period. Extras funded by purchased credits do not expire but require Pro to use. Included category allowances are used first, then expiring extras before nonexpiring extras.
  • Exchanges cannot be reversed into credits. Confirmation shows the source, cost, units and expiration. Buying a pack adds credits only; it does not exchange them or restart an action.

Searches, failures and free actions

Pro automatic searches use included searches only, never credit-funded extras. Each search allows at most three provider requests in total, including retries and all locations. A Foundation search uses allowance only when new eligible jobs are delivered to your account; if none are delivered, your allowance is preserved. Provider spending is accounted for separately, and rate limits, cooldowns and abuse-prevention limits still apply even when allowance is preserved. Pro searches count once a provider request is sent, even if no matches are found or the search is partial or fails. If no provider request was sent, the search allowance is returned. After dispatch, partial or failed searches retain their original operation and retry budget; recovery does not create a new free provider-request budget.

Necessary analysis and internal processing within a paid action are included, not charged again. Failed non-search actions return reserved usage to its original source; an expired included allowance does not become a new-period allowance. Reopening a saved result does not charge again.

Manual resume creation and editing, manual job entry within your active-job limit, deterministic skills matching, reading saved content and exporting documents do not use AI allowances. Saved content remains readable and exportable after Pro ends; new actions follow your current plan. Service availability and abuse-prevention limits still apply.

Plans and billing

A free tier is available. Paid subscription plans may be billed weekly, monthly, or quarterly, and AI credit packs may be offered as separate purchases. Prices, applicable taxes, and the billing interval or credit-pack quantity are shown at checkout. Stripe processes payments. Subscriptions automatically renew at the then-disclosed price and interval unless you cancel before renewal.

Purchased AI credits require an active Pro plan to use. They are separate from your included subscription allowance. Losing Pro access does not erase your remaining purchased balance, but you cannot spend it until Pro access is restored. We will notify you of subscription price increases before they apply to your renewal so you can cancel beforehand.

You can cancel a subscription at any time through the billing portal or by contacting us. Cancellation stops future renewals; it is not itself a refund request. You normally keep access through the end of the paid period unless a full refund is issued.

Refund requests

For your first subscription purchase only, you may request a refund within 2 calendar days of a weekly purchase or within 7 calendar days of a monthly or quarterly purchase. Reasonable use of the subscription during that initial window does not automatically disqualify you. This first-purchase window does not reset for later subscriptions.

For a subscription renewal, you may request a refund within 48 hours of the renewal charge only if you have not used paid features since that renewal.

AI credit-pack purchases are non-refundable as a standard policy, including when credits remain unused. This does not limit your remedies for duplicate charges, billing errors, credits that were not delivered, service failures, or rights under applicable law. If you bought a pack under an earlier disclosed refund policy, the conditions disclosed when you purchased it still apply to that purchase; contact us to request review.

These standard windows do not limit remedies for billing errors, duplicate charges, service failures, or rights you have under applicable law. Email support@rolebase.com with your account email, charge date, and reason for the request. We review requests manually and will reply with our decision; submitting a request does not trigger an automatic refund. If we issue a full subscription refund, access for the refunded period ends.

Job listings and outcomes

Job listings come from external sources, and we cannot guarantee any posting’s accuracy or availability. Applications happen between you and the employer. Rolebase improves your preparation — it does not promise interviews, offers, employment, or any particular outcome.

Company names, logos, and non-affiliation

Company names, logos, and trademarks displayed on Rolebase belong to their respective owners and are used to identify companies and related job opportunities. Their appearance does not imply any affiliation, partnership, sponsorship, or endorsement between Rolebase and those companies.

Disclaimers and liability

To the extent permitted by law, the service is provided “as is” and “as available”, without warranties of any kind, express or implied — including implied warranties of merchantability, fitness for a particular purpose and non-infringement — and without promises of uninterrupted availability, error-free outputs, or that the service will meet your needs. To that same extent, we are not liable for indirect, incidental, special, consequential or punitive losses, or for lost profits, data or opportunities, and our total liability for all claims related to the service is limited to the greater of $100 or the amount you paid us in the twelve months before the claim arose. These limitations do not exclude or limit liability or consumer rights that cannot legally be excluded or limited.

Covering claims caused by misuse

If someone else brings a claim against us because you broke these terms, misused the service, or submitted content you did not have the right to submit, you agree to cover the losses and reasonable costs (including reasonable legal fees) we incur as a result, to the extent permitted by law. We will tell you about the claim and cooperate reasonably in handling it.

Ending things

You can stop using the service and request account deletion at any time (see the Privacy Policy). Deleting an account is distinct from requesting a refund. We may suspend or close accounts for violations, security risks, or legal requirements and will explain where reasonably possible.

Sections that by their nature should continue — including content rights, disclaimers and liability limits, covering claims caused by misuse, dispute resolution, and legal details — survive account closure or the end of these terms.

Changes to these terms

If we make material changes, we will notify you by email before they take effect. If you do not agree, stop using the service and cancel your subscription. Continuing to use the service after the changes take effect means you accept the updated terms.

Dispute resolution — please read carefully

  • Talk to us first. Before starting arbitration or a court case, email us a description of the problem and what you would like us to do; we will do the same if we have a claim against you. If it is not resolved within 30 days, either of us may proceed as described below.
  • Binding individual arbitration. Any dispute or claim between you and Rolebase Inc. relating to the service or these terms will be resolved by final and binding arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules, rather than in court. Either of us may instead bring an individual claim in small claims court, and either of us may ask a court to stop unauthorized use of the service or infringement of intellectual property. The Federal Arbitration Act governs this section. The arbitrator can award the same individual relief a court could, and fees are allocated under the AAA Consumer Arbitration Rules.
  • Hearings will be held by video or phone, or in person in Delaware or a location reasonably convenient to you, as the rules allow.
  • No class actions. Claims may be brought only on an individual basis, not as a plaintiff or class member in any class, consolidated or representative proceeding, and the arbitrator may not combine more than one person’s claims. If this waiver is found unenforceable for a particular claim, that claim must be decided in court, not in arbitration.
  • 30-day opt-out. You can opt out of this arbitration agreement by emailing the support address below within 30 days of creating your account (or, if you already had an account when this version took effect, within 30 days of its effective date), stating your account email and that you want to opt out of arbitration. Opting out does not affect any other part of these terms. Opt-out requests are handled by email; there is no in-product setting.
  • If any part of this section is found unenforceable, the rest of it still applies, except as stated above for the class-action waiver.

Data security

Our approach

You trust Rolebase with your career history, so we describe our safeguards and their limits plainly. We work to strengthen them as the product grows.

Encryption

  • In transit — all traffic between your browser and our site is protected by HTTPS/TLS in production.
  • Storage — application data is kept in a managed database. We do not claim that every copy or downstream provider uses an identical encryption setup.

Passwords and sessions

Clerk provides account authentication and session management. We do not store your sign-in password in our application database. Keep your account and sign-in methods secure.

Application safeguards

  • Protected application requests require authentication and access checks; some endpoints are public by design.
  • We use safeguards such as rate limits on selected sensitive endpoints and validation on submitted data.
  • The production site uses security headers, including a content-security policy.
  • Server-side provider credentials are not intended to be exposed in the public client.

Third parties

Our hosting, authentication, payments, artificial-intelligence, and email providers handle data for their functions. See the Privacy Policy for details.

While we work to protect your information, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. We will address security incidents and provide notices as required by applicable law.

Your part

Use a strong, unique password for your account. If you suspect any unauthorized access, contact us right away and we will help you secure the account.

Reporting a vulnerability

If you believe you have found a security issue, please report it through the contact channel below so we can investigate it.
